Zoho Sheet

Zoho Sheet is an online spreadsheet that lets teams create, share and edit workbooks together in real time. Its Zia assistant answers data questions, drafts formulas and charts, and cleans messy ranges. Apps cover web, Windows, macOS, Android and iOS, with offline editing. Zoho offers it free, while paid Zoho Workplace plans bundle it with email and storage.

What is Zoho Sheet?

Zoho Sheet is an online spreadsheet that lets teams build, share and edit workbooks together in real time, with an AI assistant called Zia built in. It belongs to Zoho’s office tools alongside Writer and Show.

You work in a familiar grid of rows, columns and tabs in the browser, and changes sync to apps for Windows, macOS, Android and iOS. Colleagues can comment, discuss and edit the same file at once, while version history keeps earlier states you can return to. Zia sits on top of the grid and answers questions about your data in plain English.

The product is made by Zoho, the Indian software company behind a large suite of business apps. Zoho describes Sheet as free to create and use, and it is also bundled into the paid Zoho Workplace plans, which add business email, file storage and administration.

Key Features

Zia and live collaboration matter most in Zoho Sheet, because together they cover both the analysis work and the review loop that slow spreadsheet teams down.

  • Zia AI assistant: Zia answers questions about your data in plain language and drafts formulas, summaries, charts and pivot tables. It can also generate VBA macro code from a description, which helps people who know what they want but not the syntax.
  • Data cleaning: A cleaning tool scans a range for duplicates, missing values and inconsistent entries. Zia can also learn a pattern from a few sample cells, for example splitting full names or reformatting dates, and fill the rest of the column.
  • Real-time collaboration: Several people can edit a workbook at once, leave comments and discuss changes beside the cells. Sharing controls cover view, comment and edit access, and cell or sheet locking reduces accidental changes to formulas.
  • Charts and pivot tables: Zoho’s homepage cites nearly 40 chart types and a dynamic pivot table builder for summarising data. Zia can suggest a suitable chart for a selected range, which saves trial and error when presenting figures.
  • Data connections: Sheets can pull and refresh linked data from other Zoho apps such as CRM, Projects and Books. Reports therefore stay current without repeated manual exports, which suits teams already running on Zoho.
  • Automation and macros: Macros record repeated steps, and custom functions extend the built-in library of more than 350 functions. Through Zoho Flow, Zoho lists over 1,000 possible integrations for moving data between Sheet and other services.

Pros

Cost is the strongest argument for Zoho Sheet, since Zoho offers the full spreadsheet free while competitors often reserve AI help for paid tiers.

  • Free core product: Zoho describes Sheet as free to create and use, with no card needed to start. Students, freelancers and small teams get a capable spreadsheet without adding another monthly bill.
  • Excel-friendly files: Zoho says Excel files import without loss of formatting, and Sheet also opens ODS, CSV and TSV files. You can export back to Excel, PDF or HTML when sharing with people outside Zoho.
  • Built-in AI help: Zia drafts formulas, charts and pivots from plain questions inside the grid. Users who rarely write nested formulas can still produce useful summaries and check their numbers faster.
  • Offline and mobile apps: Desktop apps for Windows and macOS plus an Android app support offline work, and an iOS app is also listed. Changes sync back once you reconnect, which suits travel and patchy connections.
  • Fits the Zoho stack: Live links to Zoho CRM, Projects and Books turn Sheet into a reporting layer for businesses already on Zoho. That avoids exporting CSV files every week and pasting them into a separate tool.

Cons

Ecosystem pull is the catch with Zoho Sheet, because its deepest connections favour other Zoho apps and fewer outside tools match Google or Microsoft integrations.

  • Smaller outside ecosystem: Add-ons and third-party templates are far fewer than for Google Sheets or Excel. Teams that rely on niche add-ons should check that each one has a Zoho Flow route or an alternative before switching.
  • Unclear published limits: We could not find row, cell or file size limits on the pages we read. Anyone planning very large workbooks should test their own files first to avoid hitting limits mid-project.
  • Pricing sits in bundles: Sheet has no separate price list, so business features arrive through Zoho Workplace plans. Comparing costs means reading the Workplace page rather than a simple spreadsheet plan.
  • Zia needs checking: Generated formulas and summaries can misread a question or a messy range. Review results before sharing them, especially in finance or reporting work where small errors carry weight.
  • Advanced Excel gaps: Power users may miss some advanced Excel tools, add-ins and complex macro behaviour. Workbooks that depend on heavy VBA or Power Query should be tested carefully before migration.

Who is Using Zoho Sheet?

Small businesses and Zoho customers form Zoho Sheet’s core audience, and directory listings place it with freelancers, small teams and larger companies alike.

  • Small businesses: Owners and office teams use it for budgets, stock lists and simple trackers. The free tier keeps costs down while still allowing shared editing.
  • Zoho CRM and Books users: Sales and finance staff build live reports from linked Zoho data. Refreshing connections replaces manual exports and copy and paste.
  • Finance advisers: Zoho’s site quotes a fractional CFO firm using Sheet with clients. Shared workbooks let adviser and client review the same numbers together.
  • Students and freelancers: Individuals use the free web and mobile apps for coursework, invoices and personal planning. Zia helps them build formulas without memorising syntax.

Pricing

Zoho Sheet is free to use on its own, with paid business features bundled into Zoho Workplace plans (official sites, October 2026).

Plan Price What you get
Zoho Sheet (standalone) Free Online spreadsheet with collaboration, Zia, web and mobile apps

Workplace Professional Paid, per user per month, billed annually Larger mail and team storage, retention and the full office suite

The Workplace page did not show readable per-user amounts when we fetched it, and the free Workplace Mail plan for up to 5 users does not list Sheet. Directories such as GetApp simply list Zoho Sheet as free with a free version.

Disclaimer: Zoho sets prices by region and billing cycle, so check the Workplace page in your own currency.

What Makes Zoho Sheet Unique?

A free spreadsheet with an AI assistant and live links into a full business suite is the rare combination here. Google Sheets matches the price, but it does not connect natively to Zoho CRM, Books or Projects.

Zia’s range also goes beyond formula hints. It translates cell content into 74 languages, turns photos of printed tables into editable rows, and drafts macro code. For a Zoho customer, those tools arrive without another subscription or add-on.

Compatibilities and Integrations

Browser, desktop and mobile apps all sync the same Zoho Sheet workbook, and Zoho Flow extends it to more than 1,000 outside services.

  • Platforms: Web browsers, Windows, macOS, Android, iOS and Chromebook are listed. Offline editing is available in the Windows, macOS and Android apps.
  • Zoho apps: Data connections pull from Zoho CRM, Projects and Books, and Zoho Forms can feed responses into a sheet.
  • Zoho Flow: Flow links Sheet to third-party apps and triggers, with Zoho citing over 1,000 integration possibilities.
  • File formats: Imports cover Excel, ODS, CSV and TSV files. Exports cover Excel, PDF and HTML.
  • Languages: The interface is offered in 23 languages, and Zia can translate cell content into 74.

Summary

Zoho Sheet is a strong free spreadsheet for small teams, students and any business already using Zoho CRM, Books or Projects. Zia adds plain-language analysis, cleaning and formula help without a separate AI fee. The main limitation is its smaller outside ecosystem, so teams tied to niche Excel add-ins or Google Workspace tools may find gaps. Business features and storage arrive through Zoho Workplace bundles rather than a standalone plan. Before moving a critical workbook, test a copy of your largest file and check every Zia formula it generates.
