What is Box?
Box is a cloud content management platform with Box AI built in. You can ask questions about files, summarise reports, draft content and extract fields from contracts or forms. Box AI only reads files you already have permission to open.
Box, Inc. was founded in 2005 by Aaron Levie and Dylan Smith. Box AI uses models from OpenAI, Anthropic and Google, and Box says customer content is not used to train public models.
Key Features
- Box AI Q&A: Box AI answers questions about a single file or, on Enterprise plans, across several files. It also summarises reports and drafts content, and only reads files the user already has permission to open.
- Box AI Agents: Agents find files, summarise findings and draft deliverables across multi-step tasks. Box Agent arrives on Enterprise Plus, while Enterprise Advanced adds custom agents with extended context.
- Box Extract: Box Extract pulls key fields from contracts, forms and images into structured metadata. Legal and finance teams can then search, report on or automate work using those fields instead of reading each document.
- Box Hubs: Hubs are curated content portals that teams can query with AI. They suit policy libraries, intranets and sales collateral, where staff need answers drawn from a large, approved set of documents.
- Box AI Studio: Admins use AI Studio to build custom agents and choose the underlying model. Box AI draws on models from OpenAI, Anthropic and Google, so organisations can match a model to each task.
- Workflow automation: Box Automate, Box Apps and Box Forms connect AI extraction to business processes. Teams can build no-code apps and automated workflows that act on extracted metadata.
- Box Sign: Box Sign e-signature is built into every plan, from five requests a month on the free tier to unlimited on Business and above. Signed documents stay in the same governed repository as the rest of your content.
- Governance and security: Retention policies, Box Shield and FedRAMP Moderate support cover regulated workloads on higher tiers. Box also lists HIPAA eligibility and SOC compliance, and says customer content is not used to train external models.
- Developer tools: The Box AI API, SDKs and an MCP server let developers connect Box content to their own apps and external AI agents. Core API calls and extra AI units are also sold as add-ons.
Pros
- Permission-aware AI: Box AI answers only from files the user can already see. IT teams can roll it out without rebuilding access rules, which lowers the risk of exposing confidential documents.
- Model choice: Admins can pick models from OpenAI, Anthropic and Google in AI Studio. That flexibility helps organisations balance cost, speed and quality across different agents and adjust as model options change.
- Full content platform: Storage, sync, e-signature, workflows and AI sit in one product. Teams avoid stitching together separate tools for file sharing, signing and document automation, and admins manage one set of permissions.
- Large app ecosystem: Business plans and above connect to more than 1,500 apps, including Microsoft 365, Google Workspace, Slack and Salesforce. Files stay in Box while people keep working in familiar tools.
- Strong compliance: Box lists FedRAMP Moderate, HIPAA eligibility and SOC compliance across its higher tiers. Regulated sectors such as healthcare, finance and government can adopt AI under existing controls.
- Useful free tier: The free Individual plan includes 10 GB of storage and five Box Sign requests a month. Individuals can test the core file platform before paying, although Box AI is not included.
- Fast desktop sync: Box Drive integrates closely with Windows and macOS file systems. TechRadar’s testing synced 232 files in under 60 seconds, and the review also praised Box’s admin tools.
Cons
- AI is gated: The free Individual, Personal Pro and Business Starter plans include no Box AI. Access starts on Business at $15 per user monthly, billed annually, with a three-user minimum.
- Metered AI units: Heavier AI work draws on monthly allowances, such as 1,000 units on Enterprise and 2,000 on Enterprise Plus. Extra units cost $10 per 1,000 a month, so busy teams must watch consumption.
- Seat minimum: Every Business and Enterprise plan requires at least three paid users. Solo professionals who want Box AI pay for three seats even if they work alone.
- Costly at scale: Generous AI allowances and Box Agent sit on Enterprise tiers at $35 to $50 per user monthly. TechRadar also finds Box’s personal plans pricier for storage than some rivals.
- Upload limits on lower plans: File size caps range from 250 MB on the free plan to 2 GB on Business Starter. Video teams and engineers handling large files need Business Plus or above.
- Admin learning curve: AI, governance and Shield settings take time to configure properly. Smaller IT teams may need Box documentation or support to set up retention policies and agents correctly.
Who is Using Box?
- Legal teams: Extract clauses and dates from contracts.
- Financial services: Summarise regulated reports securely.
- Healthcare: Query sensitive records under strict controls.
- Public sector: Agencies needing FedRAMP compliance.
